Our client accounting system is maintained on a sophisticated software package which runs our in-house network. Payments are taken in three different forms: mail, walk-in or direct payment. Our treasurer opens all payments and runs a manual tape for internal audit purposes. All funds are deposited in a special trust account with Union Bank & Trust Co., Lincoln, NE. Every walk-in payment is receipted. Direct payments are payments our clients receive. It is important that individual payments, along with any correspondence, be mailed to MMCI, Inc. Batch payments can be called into Medical Management Consultants, Inc.

At month end, a collection report is generated and is accompanied by a check which is mailed to our clients no later than the 20th day of each month for collections generated during the preceding calendar month. Collection reports tell clients where monies were collected, payment date, status of account and client's reference number.

We are on-line on-site and have the ability to be on-line by client with a communications link. The collection software is a fully computerized collection system, which allows the collection effort to become more productive and efficient. All accounts can be processed at our command through our data transfer programs or via data entry system. Features provided with this system which enhance the collector's ability to collect are:

Collection software automatically feeds accounts to collectors each day in the following priority: promises, special priority accounts as determined by management at any time for a given client, debtor response, status or rework, new business and active inventory in call date order.

Collectors can code an account for a particular response rather than typing or writing the debtor's response. This expedites handling of the account and allows collectors to effectively handle more accounts per day. Approximately 40 different codes are currently being utilized. The collectors may select, match or search accounts directly from their work screen at any time.

Management can view a collector's inventory and inspect the daily work done by each collector each day in a summarized form that displays promises, contacts, refusals, promises for balance, promised amount, and notices sent.

The control system allows for multiple account processing. All accounts are treated and processed as one account throughout the entire system. When an account is retrieved for update or inquiry, all accounts for the patient are present regardless of how many creditors they may have. Detailed information for each account is available for viewing.

Accounts are entered, and debtor account numbers are automatically assigned by the system. The system automatically assigns the collector number, which is predetermined by management using the collector assignment feature. Alphabet, balance, or client can assign collectors. Patient notices can be sent by each collector simply by coding the account for the desired letter number they wish the patient to receive.


Our yearly volumes of accounts has steadily increased. From July 2000 through December 30, 2005 we have processed $10,725,780.00 in new accounts. This is due to our ability to meet the continual changes requested by our valued clients. We can accept accounts for placement via magnetic tape, e-mail, diskette, or manual data entry.


Third-party collections techniques begin with a 'Customer Notice' (validation notice as required by law) notifying the patient of the alleged debt. After 15 days' time has elapsed, collectors begin trying to reach each debtor by phone. In the event this is not possible or a positive response is not attained, the demand notice is mailed. After the initial two notices, the mail correspondence is at the discretion of the manager. Also during the first weeks of placement of the new account, the computer system searches for active accounts for 'ties' (additional accounts for the same guarantor) and then searches for 'ties' in the 'Suspense Section' which contains accounts that were uncollectible at an earlier time. After accounts are initially worked on a new business basis and integrated into a collector's active inventory, collectors are expected to make telephone contacts every two weeks on each account handled.

Collectors recommending accounts for placement with our attorney are limited to a sixty (60) day time frame. However, no accounts are sued with an aggregate balances are under $100. In situations where aggregate balances are under $100, they are placed in a suspended file and, if a new placement pushes that balance over $100, the account can be sued immediately.

Medical Management Consultants, Inc. is affiliated with Experian (formerly TRW) Credit Bureau information through a dial-up modem. Experian is used when contact by phone with the debtor is not available and collection personnel are trying to identify location and locate assets. The latest credit reports are available instantaneously. Where there may not be current credit application, we enter what is called an Automated Watch Search. This service places the account with Experian so when a potential responsible party applies for credit, our agency will be notified of all updated information with regard to the debtor.

MMCI, Inc. lists all open collection activities on debtors' credit records. This information is communicated to the bureau on a monthly basis. It becomes effective when an individual applies for credit and the open collection appears on his/her credit report. In these cases the potential credit guarantor will usually require that the collection be cleared before credit is issued. There is no dollar limit on this procedure.
We also have our own skip tracing department whose sole purpose is to aid collectors with location information.

American Collector's Association (ACA) is also used to provide updated location information.

Agency initiated cancellations are limited to bankruptcies, write-off balances due to contractual agreements, and write-offs due to settlements with attorneys.

No account is settled unless authorization is obtained by the client.
